1. Your business and callers

2. The greeting

Suggested AI structure: “Hello, you’ve reached [business]. I’m [name], the AI receptionist. How can I help with your enquiry?” Use the actual identity approved for your service. For a human service, write a truthful human greeting instead.

3. Information that may be used

4. Promises that must not be made

Examples include an unverified delivery date, a booking without booking-system access, a refund decision, a guaranteed callback time or professional advice outside scope.

5. Details needed for follow-up

Collect only what the purpose and privacy arrangements support. Do not request payment or sensitive details simply because a field exists.

6. When the answer is unknown

Possible wording: “I don’t have that information. I can take the details of your enquiry for the team.” Use it only if the service can really take and pass on those details.

7. After the call

8. The test

Make a controlled call using fictional information. Ask a normal question, correct a detail, interrupt once and ask something outside the brief. Inspect the exact saved enquiry afterwards. Check the real cost and provider testing rules first.

A useful brief defines the job and its limits. It is not proof that a particular receptionist will perform it; the test provides that evidence.
