Ask which caller details are needed for reception and follow-up. Do not collect sensitive information just because the system could store it.
Know what happens to the caller’s information.
Before using an AI receptionist, document the information it processes and the responsibilities of your business and suppliers. This guide is a practical checklist, not legal advice.
Turn the next unanswered call into a useful enquiry. AI Receptionist from $59/month before tax · 60 answered minutes.

Start with the purpose.
Explain actual processing to callers.
Your privacy information needs to match the service: what is collected, why, who receives it, how long it is kept and how people can exercise relevant rights.
Separate recordings, transcripts and enquiries.

These are different records with potentially different retention and access needs. A useful enquiry does not automatically justify keeping raw audio indefinitely.
Check the supplier chain.
Confirm the roles of the business, Odette HQ and its actual providers, including processing agreements and any relevant international transfers. A model name alone does not establish compliance.
Test access and deletion.
Check that each business can access only its own calls and that approved retention, export and deletion processes actually work. Limit what general notification emails reveal.

Review our processing terms too.
Check the privacy information and data processing agreement against your business’s needs before sending customer calls.
